TO ANYONE IN YOUR DEPARTMENT/DIVISIONS THAT HAVE HR RESPONSIBILITIES
AS WE ARE ONLY SENDING THEM TO THE DEPARTMENT ADMINISTRATOR/DIRECTOR
since who is involved in HR matters differs by Department.
As
a follow up to the email sent out last Friday, we are providing
you with ongoing updates regarding the change over to the
new HR/PR system.
Staff
and Faculty Requisition Form
--Effective
immediately, you should begin using the new “Staff
and Faculty Requisition Form” to initiate the
request to fill a vacant position or to process a new faculty
member, pre/post doc, or graduate assistant onto payroll. The
signatory approval process remains the same. A copy of
the chart was distributed at the HR Training meetings and will
ultimately be on the web in the HR Admin Tool when its ready
(target is 9/1/2005).
Research
Scientists
--As
of 9/1/2005,
those departments with employees classified as Research Scientists
must record their hours on E-Time in accordance with the schedule
contained in the memo that Payroll (Sandra Cortina) sent out
on Friday. Their first bi-weekly check will be the check
dated 9/16. In order to understand their transition, please
refer to the attached memo that is being sent to these employees
which explains the process to them.
Communication
Regarding the Paychecks:
--In
order to keep you informed, attached is an advance copy of the
letters that are going out to the Faculty and Staff at NYUSM,
NYUHC and HJD that explain how to read the paycheck and describes
what resources will be available to answer questions. Please
be aware that due to the nuances that exist with the various
segments of the population, we had to create 14 versions of
the letters and they will be mailed to the homes except for
those employees who are on the bi-weekly School payroll since
that paycheck is being issued this week. The letters are
targeted to the various populations as follows:
Scientist
Cycle Change Letter—is
the explanation of how they will be transitioned from the monthly
payroll to the bi-weekly cycle. This will be sent to
their homes along with a copy of either the “smbwkly
flex” letter (if they are eligible for flex benefits)
or the “sm basic” letter (if they are FT/PT w/
base hrs of 17.5 or greater and making less than $30K) or “sm
non-flex” if they are not eligible for any benefits. A
detailed explanation of each of these letters is listed below.
Paycheck
Explanation Letters:
1)
Physicians and Staff Paid Bi-weekly Who are Eligible for Flex
Benefits (file named “sm biwkly flex”): This
will be sent via email (based on an email list that SoMIT set
up for us) to this population. It would be for any faculty
member paid as a Staff Physician/Psychiatrist as well as non-union
staff (job codes 1XXXX, 4XXXX thru 8XXXX) who are regular part
time with base hours of 17.5 per week or full time who are
eligible for Beneflex benefits.
2)
Faculty and Staff of NYU School of
Medicine Eligible for Basic Care (file named “sm basic”): This
will be sent to the homes for this population who are paid
monthly. This population would include any faculty member
who is full time and paid < $30K or Staff MD/Scientist who
at least part time and paid FTE salary < $30K (grandfathered
groups) or Pre Docs, Post Docs, and Graduate Assistants.
3)
Full Time Compensated Faculty Paid Monthly Eligible for Beneflex
(file named “sm monthly flex”): This
will be sent to the homes for this population. This
population would include any faculty member who is full time
and eligible for the Beneflex benefit package.
4)
Part Time Compensated Faculty and Staff (file named “sm
non-flex”): This will be sent to the
homes for the population who is paid monthly. For the
population that is paid bi-weekly, it will be sent via email
since this week is the first paycheck in PeopleSoft for the
bi-weeklies. This population would include any faculty
member who is compensated on their part time appt, any Staff
MD or Psychiatrist and Staff who have base hours less than
17.5 per week, as well as casuals and per diems.
5)
Employees who are members of Local 1199 and 32B/J (file named “smnyhchjd
non rn”): This will be sent to the
homes for this population. This population would include
any faculty member who is full time and eligible for the Beneflex
benefit package. This was sent out on Friday in the
mail since these School of Medicine employees
get their checks this week.
For
those being mailed to the homes, they are prioritized in order
of payroll cycle.
