As many of you are aware, for the past six
months, we have been reaching out to Dept Admin & Directors of Administrative
Areas to arrange for training for end users on the web based
HR ADMIN WEB TOOL that provides you with the ability to look
up HR information pertaining to your employees. Since
this was a massive undertaking, the implementation has been
undertaken on a gradual basis so that we could manage this
process effectively. As part of the planned enhancement
of this tool, we have worked closely with SoMIT to create the
equivalent of a downloadable file of the CPP (we refer to it
as the “online CPP” directly from your desktop
and it is now available for use.
As announced in the July 2004 Department Administrators
meeting, this “Online
CPP” was created to allow departments immediate access to a CPP, which
is printable directly from a desktop. This provides the major
benefit of having ready access to current employee information in order to
process transactions to Human Resources and Payroll.
There are several important points to be aware of when using this web printable
CPP:
- This CPP is not intended for use when terminating
an employee. The
current procedure of attaching the Termination Form to
an email will continue.
- CPPs should continue to be used when processing
transactions for Non-Compensated Faculty.
- Since the Online printable CPP does not have carbon copies,
you are advised to make a photo copy for your records
prior to sending the form for signatory approval.
The current 5 page carbon version of the CPP will be
no longer be available in the very near future for making changes to Human
Resources/Payroll information of School of Medicine FACULTY and STAFF who
are compensated. This change
allows several benefits:
It allows us to reduce the amount of occurrences in
which the CPP has to be sent interoffice (only for processing rather than
for both processing and reprinting); it also allows us to save on the expense
of purchasing that form ($5 per form which translates to several thousand
dollars) and the staffing in both PR and the School’s Finance Dept
that is needed to distribute the CPP with the new information.
Please keep in mind that we are being very conservative
on access to this tool and all requests have to be initiated by the Department
Administrator and/or the Director of the Administrative Depts and are based
on established guidelines set up within the system.
