New Document Names in ICIS
Effective Tuesday, May 20th, all documents entered in ICIS will be renamed to follow a standardized naming convention designed to allow the expanded use of electronic clinical documentation. Affected documents include structured notes, free-text documents and flowsheets.
New documents will be identified using function, role, and discipline.
New Document Name Search:
A pediatrics nurse looking for an admission note would search for “Admission Note Nursing Pediatrics”.
A rehab attending looking for a discharge summary would search for “Discharge Summary MD/NP Rehab”. An emergency department nurse looking for a Triage Note would search for “Triage Note Nursing ED”.
You can also search by only typing the first few letters of the document name (i.e. admission, progress, discharge).
Impact on Personal Document Settings:
If you set-up Personal Documents as the document entry starting point, the new document name will replace the existing name. No action is required on your part.
If you customized the Start of Browse to a specific section, you should manually delete the previous start point and create a new browse start point as per the new naming convention. The new Browse Starting Points are set by Role and Discipline.
It will be significantly easier for you to use the new document names if you customize your ICIS preferences. Information on customization is available at the IT Help Center, and personal help can be obtained by calling (212) 263-0123 during business hours.
Impact on Document review in the Documents chart section:
All documents entered on or after May 20th will display the new document name (i.e. Admission Note Nursing Acute).
Document entered prior to May 20th will display the old document name (i.e. Nursing Admission Note – Acute).
Document entered prior to May 20th and edited after May 20th will display both the old and the new name (i.e. Admission Note Nursing Acute - Nursing Admission Note – Acute).
